Using Systems to Overcome Nonprofit Burnout
Nonprofit Burnout is at an All-Time High
According to the CEP State of Nonprofits 2026 report, nearly 90% of nonprofit leaders are concerned about burnout.
Demand for services is up 73%.
Staff morale is down.
Nearly a third of nonprofits have had to cut staff, many by more than 10%.
And finally, 2.8 million nonprofit jobs are at risk if government funding continues to erode.
Most organizations are set up to fail. Here’s the common pattern:
A passionate Development Director joins an organization.
They care deeply about the mission.
They work incredibly hard.
And then, 18 months later, they burn out and leave.
Why does this happen?
Because the database they inherited was a mess. Their stewardship plan lived in their predecessor's head. And their board meant well but didn’t know how to help.
In other words, their burnout was inevitable.
A stronger strategy wouldn’t have saved them. Their organization’s foundation was the problem.
The good news is that it’s fixable.

How to Build a Sustainable Fundraising Foundation
Earlier this year, an organization came to Sprout with an SOS. Their donor data was scattered and they had no clear stewardship system in place. Their team was completely under water.
In just 3 months, we helped them transform their foundation. With organized data, new donor journeys, internal accountability, and sustainable transitions, they now had the building blocks they needed to succeed.
The result? They tripled their donation revenue from the previous year.
Their success is repeatable. Here are the pillars you need to build a sustainable fundraising foundation:
Pillar 1: Clean, Trustworthy Data
Your donor data should be segmented and tagged by audience type. This makes fundraising more predictable and empowers you to create a report in under 10 minutes. To start, export your donors from the last 18 months and flag who gave last year but not yet this year. This list will show you where to focus first.
Pillar 2: Clear Donor Journeys
Stewardship leads to repeated giving. Set up donor journeys with an immediate thank-you after giving (not a receipt), acknowledgment for repeated giving, and a plan for when donors go quiet.
Pillar 3: Internal Accountability
Without KPIs, board stewardship assignments, and automated alerts, essential fundraising tasks get forgotten. Start by consistently tracking your donor retention rate and average gift size to learn more about your fundraising health. Prioritize from there.
Pillar 4: Sustainable Transitions
Fundraising should survive staff changes, not reset because of them. By creating documented workflows, centralized grant readiness folders, and a communications calendar, you’ll turn a potential crisis into a manageable handoff.
